What strategies do you use to manage your time effectively?
Do the required tasks early and mentally process the next task while completing the current task. This helps me assess fail points or short falls with the next task prior to acting on them. Triage the daily priorities helps me to accomplish less urgent but time essential goals or tasks.
Be comfortable with low value outcomes to achieve completion, ONLY if it is a low value task. Not all tasks are created equal.

What are some of your biggest obstacles to you managing your time effectively?
Effective use of my time would include more time spent with family and friends. Work/Life balance is an issue for me currently. I struggle with loss of production, capital and diminished future returns. My attendance in "life" balance is limited due to my aggressive future financial preparation. Regrettably I am sacrificing time with my wife, children and friends in an effort to achieve comfort in later years.
 
What can you do to remove some of these obstacles?
I need to schedule "OFF" time to enjoy the what and where I am currently in my life. Missing moments in life will be a big regret. To quote Ferris Buehler "sometimes you have to stop and smell the roses"

What strategies do you use to manage your time effectively? I use my Microsoft calendar to help keep track of events and items I need to accomplish. I also send myself emails as reminders to do things. Often times, I will have a thought enter my head that reminds me "hey don't forget you need to do this thing". I send my self an email reminder to do it or make a plan for it. This allows me to put it out of my mind and get back to time with he family. I also recently learned about an email management system that helps to sort the things I need to do. This allows me to keep track of things that are ongoing projects.

What are some of your biggest obstacles to you managing your time effectively? One obstacle is email. It just comes in all day and constantly reminds me of other things I need to do. Even though, I have found a better way to manage them, it still interrupts my thought process. I think I need to schedule times to deal with email and not worry about them until it is the appropriate time. 

What can you do to remove some of these obstacles? As I stated above, I think I will need to schedule time for emails rather than dealing with them as they are received. I also think that more daily exercise with help to improve my thought process and energy to deal with them.

I use these strategies to manage my time, both personally and professionally:  I prioritize tasks based on the necessity and how critical they are to operations or people.  I make sure the most important things come before everything else.   I use my calendar to schedule things at work and at home.  I have a separate work and personal calendar.  I make lists.  I have a daily list and a separate list for long term items.  My daily list may include long term items, but I make one list every day.  If something is not complete, I carry that over to the next day, or I reschedule that task.  I look ahead to forecast and plan.  I get help or delegate items that people can assist me with.  I make sure I have time to take on any task that I accept.  I get assignments like everyone else, but I have to watch how much extra stuff I take on. 

Some obstacles I face in time management, and how I remove them:  I let myself get distracted.  I have to focus and decide how much time to spend on a task.  I will also get up and take a break to get refocused.  My mind will wander, and I won’t get work done.  I can get frustrated when multi-tasking.  I will schedule time in the day to do individual things.  I will set self-imposed deadlines.  I will force myself to eliminate time wasting activities, because I use these to avoid doing what I need to do.  Sometimes, I have to close the door and dedicate time to finishing a specific activity and eliminate all distractions.  I also find that sometimes the best solution is to just go ahead and do something right now, to ensure it is completed. 

As simple as many of these things sound, it can be difficult to manage time to accomplish tasks.  Always being prepared for an emergency call, along with the amount of distractions, whether from people, email, electronic devices, phones, or whatever else, it is important to find a way to manage time effectively.

What strategies do I use to manage my time? When riding up I like to check my Microsoft calendar and email first thing in the morning. I also like to communicate with the Battalion and find out what he wants done for the day. Once I have a list established I then begin to prioritize the tasks by time sensitivity. After the time sensitive tasks are complete I help manage the crews to complete any other tasks needed and then we can work on individuals tasks.

Some of the obstacle I face is trying to stay on task when unexpected items pop up. Keeping up with emails and daily activities is hard to keep track of some days when there is a lot going on. I need to work on staying focused on the important tasks and then keeping a list of items to be done later. Once their is time in the day I could work on the less important tasks. Another distraction is just finding myself getting involved in conversations for long periods of time that are not important.

When working with time management I need to remember to stay on task and keep organized with time frames by using lists and keeping distractions from people and other devices while at work.

What strategies do you use to manage your time effectively? I use the Microsoft calendar to keep track of training and daily duties that need to be accomplished.  At the beginning of each shift before breakfast I sit down and figure out what are the priorities and what needs done but can wait.  I have found in the last couple years what really helps me manage my time better is figuring out what I need to do and what can be done by other members of the crew with little or no assistance from me.

What are some of your biggest obstacles to managing your time effectively?  For me the biggest obstacle to managing my time is feeling the need to be part of the crew when they are working on projects or an improvised training they have come up with.  I let this distract me from some of my things that I'm working on and end up being up at work late catching up on things that got pushed back. 

What can you do to remove some of these obstacles? Again it goes back to making sure priorities get taken care of first.  Determining what is a priority and who it's a priority for are where the obstacles come in.

Every morning I find what I need to accomplish and prioritize what most important. Then I get with my crew and find out what they need to get done for the day. I like to write everything down in a notebook I carry with me at all times. I can add to or check them off at anytime and don't have to try to remember if there's something I could have done. This also allows me to check my book when we're out to see if there's something we can complete while we're out and not have to make a special trip.

What are some of your biggest obstacles to managing your time effectively?
One of my biggest obstacles is family, if seems like someone always needs something. So I have to stop what I'm doing and help someone else, then get my train of thought back and go back to my original task. Sometimes I find myself stuck on one project and start a new one, before I know it I have several projects started and nothing finished. So then I have to go back and reset my priorities and what needs to be accomplished first.

What can you do to remove some of these obstacles?
I started letting my crew help with things I'm working on. This often counts the time I need to spend on it in half and allows me to work on other things. I not starting other projects while working on something else. I constantly check my book to see where I'm at and what I still need to do.

On a daily basis I like to use a hand written list and have it sitting in a place I will see throughout the day. I can mark items off as I complete them and it can be a visual reminder as to what still needs to be done. For long term I keep a master calendar that has both work and personnel items in it.

What are some of the biggest obstacles to managing your time effectively ?
Dealing with things that need to be done but are not necessarily goal related. Both in work and at home.

What can you do to remove some of theses obstacles?
They are not going to go away so you try to prioritize the best you can.

I use a combination of my calendar and a note pad (to do list).  I check the daily requirements for myself and other's calendars and then write on paper any duties needing completed for that day. Once they are completed I can scratch them of my to do list.

What are some of the biggest obstacles to managing your time effectively ?
Having to deal with the unexpected (at work, runs), once a plan in in place.  Flexibility is the key word for time management in the fire service.

What can you do to remove some of theses obstacles?
Delegation is a great tool to use.  This gets the whole team involved and accomplishes the tasks.

I like to look at my emails first thing in the morning and also check the calendar to see if there is anything out of the norm for the day. If not, then it’s pretty much spelled out on what needs to be done and when. I also carry a pocket calendar that I write everything down in. Would be lost with out it.
What Obstacles I face with time management?
Are job changes every minute, just as soon as you get everything in the order it needs to be then BAM.. 911 goes crazy, then apparatus repair shows up then a pub-ed someone forgot about, then you have to reprioritize everything again. It will test your sanity.
How can I remove some of these obstacles
You can’t remove some of these, it’s just life. I think that’s why it’s important to stay calm and not stress out. As long as you prioritize at the beginning of the day, it’s easy to take care of unexpected tasks then come back to your list and carry on where you left off.

What strategies do you use to manage your time effectively?   

In the past, I used my flip phone and a pad of paper to keep track of things, now I have a real phone.  I post thoughts, events, appointments etc. in it.  That keeps me in tune.  I also like to print my important e-mails that need action for the shift.  That allows me to have them available without going back to the computer. Scheduled e-mails is a strategy that I've used for a while.  Phone calls or texts are very helpful rather than stopping tasks or put off tasks to check e-mails.   I can assist with everyday activities and complete tasks more efficiently

 What are some of your biggest obstacles to you managing your time effectively? 

Having projects, on top of projects.  Keeping a goal one at a time then moving on is my toughest plan to keep. 

What can you do to remove some of these obstacles? 

Asking for assistance is always helpful and I am also looking out for others and willing to offer my help too

Some of the biggest strategies I use for time management are a bit of a combination of the strategies we read about.  I use pen and paper to organize my day.  Each morning I make a list of all the task that I plan to accomplish for the shift.  These are kind of like goals for the day.  Using a modified quadrant system, I prioritize them.  I don't necessarily do the most important ones first but I do plan a time to have high priority items done by certain times.  Being able to cross off item on a list give a sense of accomplishment and also motivates you to complete more.  I also believe in a work hard play hard mentality.  This give me a reason to push myself.  By enjoying the blessings I have, I create a desire to increase them by working hard and staying focused

Personally, my biggest obstacle is myself.  It seems the more I have to complete the better I do at organizing and prioritizing them.  The less I have the more sense of free time I think I have and start losing my focus.  This is when I tend to get in trouble and not getting things accomplished.

Probably the best way for me to remove these obstacles is to develop good habits.  By creating some daily routines and staying organized, I can force my self to stay busy.  Less down time means less time without focus.

I have a calendar book that I use to manage my time. I usually list what is needed to be completed on each day. It is the only way that I can visually see what needs to be done and when it is needed to be completed.

What are some of your biggest obstacles to you managing your time effectively? 
I found that unforeseen event usually disrupt my time management.  I have found that when I plan a day to complete certain goals, something will interrupt my time management. I know in this line of work, which will always play a role in time management while working toward a goal.

What can you do to remove some of these obstacles? 
I have limited the amount of goals to complete in a certain time to overcome these obstacles. I have that this leaves room for the unforeseen events throughout a day and giving more time to complete a goal.

When I moved in to the administration area, I quickly realized managing time in the office is different than managing time on shift.  On shift, I rarely had long term items to prepare.  In the office, I had to develop other techniques to manage my time.  I found that creating a list of long and short term benchmarks helped.  I set calendar notifications to keep me reminded of items due.  Being organized and not procrastinating are key elements.  I prioritize daily, weekly, and monthly tasks.       

I typically work ahead if I’m going on vacation or will be away from the office for more than a week so that I am not bombarded with a bunch of work we I return.  However, sometimes this process back fires on me due to not having all the information I needed prior to doing the work.  It has caused me to redo work.   

Working ahead, most of the time, is beneficial.  However, making sure that I have all the information needed is critical.  Additionally, knowing things may change without having knowledge and I may have to adapt to those changes.

     I begin the morning by looking at the CCFD Event calendar, Battalion's calendar, my Lieutenant's calendar, and my calendar to see what events and priorities there are for the day.  I then make a list of the items that I need to and want to accomplish for the day.  Another thing that I like to do it take on small but important tasks and get them done first thing in the morning and keep the accomplishment momentum going all day long.  Just like what US Navy Admiral William H. McRaven said, "If you want to change the world, start off by making your bed."

What are some of your biggest obstacles to you managing your time effectively?
     One of the biggest obstacles that I find for myself is the amount of tasks that I take on.  Like Capt. Cox, I do find that the more I have going on the more focused that I am.  One of the other obstacles is the obvious of the pop-up tasks.  It never fails, you get everything set out and ready to get started working and here comes FAR.

What can you do to remove some of these obstacles?
     Instead of taking on task after task, just take on a couple at a time that way as I get them done I can keep the momentum going to get others done.

I completely agree with you notebook idea.  I had the same concept and it worked well.  I continue to use similar ways.
I run into the mode of making everyone happy.  Starting something but putting off other things.  It ends up stressing me out, and becomes a list instead of tasks.
Having the crew assist does help tremendously.  It doesn't have to come across as a demand, but rather could you help me with this.  That seems to come across better.

Notepads work well, and so does having the email in hand to show the crew.  that gives them the idea that you want them involved and are including them in the daily tasks
Yep runs, and inspections, and the occasional visitor has a lot of impact. 
I think that the crew enjoys to help anyway they can.  It gives them a since of entitlement and a team atmosphere is created

Over the years I have found pocket calendar and not pad have been best way for me to stay organized during the day.  This allows me to look at what needs done and check off what has been done.

What are some of your biggest obstacles to you managing your time effectively?
Helping others with their projects and not continuing to work on my projects.  This happens at home just like it happens at work.  Need to make my morning routine more consistent, makes me feel more productive when my days start the same. 

What can you do to remove some of these obstacles?
Learn to achieve my daily objectives along with helping others.  Beginning my morning with a consistent routine at work and at home will help me not waste valuable time.  Writing daily plans and goals on a pocket sized not pad would be more beneficial than just writing them on an 8.5x11 note pad.

I believe I use the quadrant list to manage my time. I do find myself the older I get placing many more things in the discard quadrant though. I also use the calendar on my phone to manage appointments while not at work, when at work I use Microsoft outlook to schedule appointments and plan my day according to what is already planned to occur here. Not to mention assuring that we have time to accomplish the tasks that need to occur at our station and for the employees at the station.

This depends on whether I am at home or work. While at work I think we do a fair job at managing our time here at the station. Of course if it wasn’t for those pesky emergency calls we would be able to schedule down to the minute right? Sometimes the communication of plans changing is an obstacle in managing our time. One of the biggest obstacles for me is to manage the appointments of others and making them mesh with appointments that I have to attend.
What can you do to remove some of these obstacles?
The best way to avoid any obstacle is with open honest communication. For me it will work better if we are speaking of facts only, not trying to make someone feel all warm and fuzzy about why I can’t make an appointment. Also, having timely communications will avoid some obstacles, because we will be ahead of the game assure that our schedules are as up to date as possible.

What strategies do you use to manage your time effectively?
- I utilize a "to do" list on paper every morning that details the items that must be accomplished during the shift.  The list contains items that are already loaded in my outlook calendar.  I utilize my outlook calendar for long range planning, and review the outlook calendar each shift to determine what gets placed on a daily "to do" list.  Then I determine what needs completed based either on priority or deadline demands.  I also ensure to carry over items to the "to do" list that were not completed from the previous shift.   

What are some of your biggest obstacles to managing your time effectively?
- One of the biggest obstacles in managing my time is related to the consistent interruptions while trying to accomplish a certain task.  The interruptions could be for emergency calls or handling a personnel matter like handling priority items such as a call off or on duty injury.  I find that a lot of time is lost trying to get back on track or even remembering to complete a given task after the interruption.  Staying organized and task oriented throughout constant interruptions is challenging. 

What can you do to remove some of these obstacles?
- Removing interruptions is not an option in this line of work.  Our business is rarely pre-planned.  Calls are going to happen and managing personnel and schedules will be unpredictable at times.  What can be done is to set reminders and keep track of where work is left off so that resuming work on a given task is seamless and thus leading to a reduction in time wasted.  Keeping a list of tasks, priorities, and deadlines is key in staying organized in a profession where interruptions are imminent.

What strategies do you use to manage your time effectively?

     I currently use 2 calendars, outlook calendar on my work computer and my calendar on my iPhone. I use these calendars in combination with notes i keep on my iPhone to organize and prioritize a to-do list.

What are some of your biggest obstacles to managing your time effectively?

     The biggest obstacle I have is the fact that I don't have a dedicated work space or computer. Another obstacle is unplanned items that may occur during a work day.

What can you do to remove some of these obstacles?

     Some obstacles cannot be removed, they just need to be expected. Allot extra time for items when possible and don't procrastinate. I think sticking to a daily routine (as much as possible) helps things flow easier.

Like most others I have an E-calendar I use.  I have set times I check my email.  I usually check first thing in the morning and right before 17:00.  I try to take breaks because I will find thoughts drifting to a different subject.  I will try to tackle my more important tasks before lunch in case other things come up that take priority.

The big issue I have is eliminating distractions.  Working in the watch office at 21s it is easy to get involved in conversation or helping coworkers with their projects.  It’s also easy once you’re distracted to fall completely off task.  I often have more than one task going on at once.  I struggle with keeping things organized.  I have found myself looking for information or notes in a giant stack of papers that I had piled up from multiple projects.

 I will often time put in headphones and turned on music.  I find it useful to be able to have the back ground noise and not get drawn into other activities in the watch office. I like the quadrant system and will definitely use this to help prioritize tasks in the future.  I will have to be more disciplined in staying organized.

Ross,
Using prioritization is an excellent way to manage your time and that of the crew. Definitely keeping what the Battalion wants the company to get accomplished for the day is important as well.

If sometimes find the email and task schedule difficult to keep up with somedays, but what I find myself doing more now is allowing time in the morning, afternoon, and evening for email review. Just reviewing the email is one thing obviously respond to the ones that require a timely response, but put the others off giving yourself time to formulate a response and not place any stress on yourself by trying to keep up with all the emails.

Again, I find it easier to prioritize the emails, those that require an immediate response to those that can wait till I time to formulate a response, some emails we need to take our time in responding to so the response is appropriate and well thought out.

     I use notebooks and e-calendars, like many others here, to help organize my days and manage competing priorities.

What are some of your biggest obstacles to managing your time effectively?
    One obstacle I have with time management is the tendency to prioritize tasks by my level of enjoyment in them as opposed to their level of importance.  By placing the emphasis on doing what I enjoy or am good at I can leave important tasks to complete at the last minute.

What can you do to remove some of these obstacles?
     Using the quadrant time management system would help to prioritize tasks by urgency and importance.

What strategies do you use to manage your time effectively?
I have struggled with this my whole adult life.  I have tried many ways to curb this without success.  Recently I talked to a mentor about this problem and he gave me some great advice as well as some good ideas to manage my time more effectively.  I have always made lists for myself.  I would create a list of all tasks to be completed.  What I found was it was very cumbersome.  Now what I find useful is to create separate lists comprised of long term, short term and daily goals to be completed.  I write these down in a notebook as well as use a an app on my phone.  I refer to my paper list constantly and cross out task as I complete them.  I use the app as a backup and to give me notifications for deadlines.  This approach has helped me with managing my time.

1)Distractions are a time killer.  Whether its work or home life getting sidetracked takes away from accomplishing my goals.

2)I have issues on prioritizing goals.  I can find myself tackling goals that are the easiest first.

1)Like the article states taking breaks during work helps with this.  Use those breaks for checking email, texts, TV etc...then go back to work.

2)Sticking to my lists that I have created will help with accomplishing the goals that need to be completed first.

I rely on my Outlook calendar to keep me on track with projects and deadlines.
I include deadlines and pertinent information in the comment sections of the appointment that I can refer to easily.

What are some of your biggest obstacles to you managing your time effectively? 

I get distracted and tend to handle issues as they present themselves.  I try to prioritize the smaller items that need repaired and plan more for the larger projects.
I also rely on the skills and effectiveness of people outside of the organization who may not share the values and work ethics of our organization.  This can be an obstacle to getting things done in a timely manner.

What can you do to remove some of these obstacles? 

Well everything is important to someone and some things are important to everyone.

I like this approach of taking care of the easier things as they are assigned, and planning out other tasks that need some thought and several moving pieces.

I find my self asking more questions when receiving assignments to assure I know what the expected outcome is, so that I have the most information that I can get. Also, gathering as much information about the project as possible and developing a implementation plan.

You have a very good point that communication is the key to getting things accomplished in a timely manner especially when dealing with people.   I always begin my day by looking at my calendar to see what appointments I have scheduled for the day. I deal with a lot of different customers through-out the day and the only way I can stay on task is placing these dates and times on my calendar. I try to answer emails as they come in if not I will answer these the next day. I also will send my self emails reminders so I don't forget things.

What are some of the biggest obstacles to you managing your time effectively?
  I receive a lot of phone calls and emails from customers everyday and they all seem to need something done ASAP. I always try to accommodate these request but sometimes I just have to say sorry not today. Sometimes I let my self  get distracted by all of these request that that I have to remind my self to stay focused and stay on task. 

What can you do to remove some of these obstacles?
 I have to remind my self to stay on task. I'm always looking at me calendar so I don't forget something that I have scheduled.

What strategies do you use to manage your time effectively? I use my Microsoft calendar to help keep track of events and items I need to accomplish. I also send myself emails as reminders to do things. Often times, I will have a thought enter my head that reminds me "hey don't forget you need to do this thing". I send my self an email reminder to do it or make a plan for it. This allows me to put it out of my mind and get back to time with he family. I also recently learned about an email management system that helps to sort the things I need to do. This allows me to keep track of things that are ongoing projects.

Lt. Buehler, As many people have mentioned in this assignment, the interruptions in our business are plentiful and unavoidable. Your approach to setting time aside to reply is a good option with emails. Emails do not have a high urgency. That does not mean that no reply is acceptable either. I believe I will also schedule time to reply in the future.

Over the years I have found pocket calendar and not pad have been best way for me to stay organized during the day.  This allows me to look at what needs done and check off what has been done.

Helping others with their projects and not continuing to work on my projects.  This happens at home just like it happens at work.  Need to make my morning routine more consistent, makes me feel more productive when my days start the same.

Learn to achieve my daily objectives along with helping others.  Beginning my morning with a consistent routine at work and at home will help me not waste valuable time.  Writing daily plans and goals on a pocket sized not pad would be more beneficial than just writing them on an 8.5x11 note pad.
Brian, I use a small note pad for daily tasks and project lists for rehabbing repair projects. It is satisfying to draw a line thru a completed item. Ron

I have struggled with this my whole adult life.  I have tried many ways to curb this without success.  Recently I talked to a mentor about this problem and he gave me some great advice as well as some good ideas to manage my time more effectively.  I have always made lists for myself.  I would create a list of all tasks to be completed.  What I found was it was very cumbersome.  Now what I find useful is to create separate lists comprised of long term, short term and daily goals to be completed.  I write these down in a notebook as well as use a an app on my phone.  I refer to my paper list constantly and cross out task as I complete them.  I use the app as a backup and to give me notifications for deadlines.  This approach has helped me with managing my time.         

What are some of your biggest obstacles to you managing your time effectively?
1)Distractions are a time killer.  Whether its work or home life getting sidetracked takes away from accomplishing my goals.

2)I have issues on prioritizing goals.  I can find myself tackling goals that are the easiest first.   
 
What can you do to remove some of these obstacles?
1)Like the article states taking breaks during work helps with this.  Use those breaks for checking email, texts, TV etc...then go back to work.

2)Sticking to my lists that I have created will help with accomplishing the goals that need to be completed first.   

I like the idea of completing the easier tasks first.  I tend to prioritize my tasks by how urgent they are.  Trying to stick to your lists can also be a challenge when other things come up.

I use a combination of my calendar and a note pad (to do list).  I check the daily requirements for myself and other's calendars and then write on paper any duties needing completed for that day. Once they are completed I can scratch them of my to do list.

Having to deal with the unexpected (at work, runs), once a plan in in place.  Flexibility is the key word for time management in the fire service.

Delegation is a great tool to use.  This gets the whole team involved and accomplishes the tasks.

Tim I like the idea of using a hand written list.  I have started to carry a notebook to write things in.  I think the further i move up in responsibility the more things I forget and writing it down helps remind me.  Delegation is something I struggle to do.  I find it easier to do the work because I have a hard time explaining what I want and having things not done exactly as I would have done it. I have an opportunity to learn from people at my current station.  Hopefully it will be a skill to master.

I agree that flexibility is needed to overcome obstacles.  Being flexible to changes in our schedules allow us to be a vital part of a team with the overall goal in mind. 

The flexible approach does require a degree of selflessness as the priorities of the team will collide with a persons desire to pursue personal desires and goals. Take Care of Business, Work for the overall good of the organization and Quit Breaking Things!

Good advice on not taking on to many task at one time. Would seem like you wouldn't get anything accomplished.

I also like to communicate with the Battalion and find out what he wants done for the day. Once I have a list established I then begin to prioritize the tasks by time sensitivity. After the time sensitive tasks are complete I help manage the crews to complete any other tasks needed and then we can work on individuals tasks.

Some of the obstacle I face is trying to stay on task when unexpected items pop up. Keeping up with emails and daily activities is hard to keep track of some days when there is a lot going on. I need to work on staying focused on the important tasks and then keeping a list of items to be done later. Once their is time in the day I could work on the less important tasks. Another distraction is just finding myself getting involved in conversations for long periods of time that are not important.

When working with time management I need to remember to stay on task and keep organized with time frames by using lists and keeping distractions from people and other devices while at work.
Ross, i agree, it's easy to get off track in our line of work. Seems things change by the minute.

I like to look at my emails first thing in the morning and also check the calendar to see if there is anything out of the norm for the day. If not, then it’s pretty much spelled out on what needs to be done and when. I also carry a pocket calendar that I write everything down in. Would be lost with out it.
What Obstacles I face with time management?
Are job changes every minute, just as soon as you get everything in the order it needs to be then BAM.. 911 goes crazy, then apparatus repair shows up then a pub-ed someone forgot about, then you have to reprioritize everything again. It will test your sanity.

You can’t remove some of these, it’s just life. I think that’s why it’s important to stay calm and not stress out. As long as you prioritize at the beginning of the day, it’s easy to take care of unexpected tasks then come back to your list and carry on where you left off.

I agree looking at a calendar is a great idea, but if this calendar is on your phone one constantly has to get their phone out to look, maybe printing the calendar out for that day and placing it in your vehicle would also keep you on track.

I have also learned this lesson during my time in admin. One of the biggest adjustments has been realizing that some things are accomplished over an expanded time period. Usually, quick actions and hard work will solve most operational tasks, but in admin a project may take months or years. I will need to better plan for long an short term goals. Thanks, JB

When I moved in to the administration area, I quickly realized managing time in the office is different than managing time on shift.  On shift, I rarely had long term items to prepare.  In the office, I had to develop other techniques to manage my time.  I found that creating a list of long and short term benchmarks helped.  I set calendar notifications to keep me reminded of items due.  Being organized and not procrastinating are key elements.  I prioritize daily, weekly, and monthly tasks.       

I typically work ahead if I’m going on vacation or will be away from the office for more than a week so that I am not bombarded with a bunch of work we I return.  However, sometimes this process back fires on me due to not having all the information I needed prior to doing the work.  It has caused me to redo work.   

Working ahead, most of the time, is beneficial.  However, making sure that I have all the information needed is critical.  Additionally, knowing things may change without having knowledge and I may have to adapt to those changes.

I have a calendar book that I use to manage my time. I usually list what is needed to be completed on each day. It is the only way that I can visually see what needs to be done and when it is needed to be completed.

I found that unforeseen event usually disrupt my time management.  I have found that when I plan a day to complete certain goals, something will interrupt my time management. I know in this line of work, which will always play a role in time management while working toward a goal.

I have limited the amount of goals to complete in a certain time to overcome these obstacles. I have that this leaves room for the unforeseen events throughout a day and giving more time to complete a goal.

I think it is important to limit the amount of goals or tasks that we try to accomplish in a certain amount of time.  When we try to get too much done in a short time frame, we may set ourselves up for failure.  Even with the best plans, we have to be realistic about the amount of times things will take.

I agree with your ideas.  I use my calendar and my note pad.  That way there is a set of things to complete during the day.  I am a big believer in consistency and routines.  When my day is planned out, no matter what comes up, I can jump back into what I need to work on.  If I can't get to something, then I move it forward to the next shift.

I use the Microsoft calendar to keep track of training and daily duties that need to be accomplished.  At the beginning of each shift before breakfast I sit down and figure out what are the priorities and what needs done but can wait.  I have found in the last couple years what really helps me manage my time better is figuring out what I need to do and what can be done by other members of the crew with little or no assistance from me.

What are some of your biggest obstacles to managing your time effectively?  For me the biggest obstacle to managing my time is feeling the need to be part of the crew when they are working on projects or an improvised training they have come up with.  I let this distract me from some of my things that I'm working on and end up being up at work late catching up on things that got pushed back. 

What can you do to remove some of these obstacles? Again it goes back to making sure priorities get taken care of first.  Determining what is a priority and who it's a priority for are where the obstacles come in.

Good idea on scheduling a time for just emails.  The one problem with that is for the shift guys that sometimes there are time sensitive emails that if we don't check periodically throughout the day, we may miss a deadline due to being off for the next two or maybe six days.

Like most others I have an E-calendar I use.  I have set times I check my email.  I usually check first thing in the morning and right before 17:00.  I try to take breaks because I will find thoughts drifting to a different subject.  I will try to tackle my more important tasks before lunch in case other things come up that take priority.

The big issue I have is eliminating distractions.  Working in the watch office at 21s it is easy to get involved in conversation or helping coworkers with their projects.  It’s also easy once you’re distracted to fall completely off task.  I often have more than one task going on at once.  I struggle with keeping things organized.  I have found myself looking for information or notes in a giant stack of papers that I had piled up from multiple projects.

 I will often time put in headphones and turned on music.  I find it useful to be able to have the back ground noise and not get drawn into other activities in the watch office. I like the quadrant system and will definitely use this to help prioritize tasks in the future.  I will have to be more disciplined in staying organized.

Watch office is distracting, I found using the training room computer reduced distractions.

What strategies do I use to manage my time? When riding up I like to check my Microsoft calendar and email first thing in the morning. I also like to communicate with the Battalion and find out what he wants done for the day. Once I have a list established I then begin to prioritize the tasks by time sensitivity. After the time sensitive tasks are complete I help manage the crews to complete any other tasks needed and then we can work on individuals tasks.

Some of the obstacle I face is trying to stay on task when unexpected items pop up. Keeping up with emails and daily activities is hard to keep track of some days when there is a lot going on. I need to work on staying focused on the important tasks and then keeping a list of items to be done later. Once their is time in the day I could work on the less important tasks. Another distraction is just finding myself getting involved in conversations for long periods of time that are not important.

When working with time management I need to remember to stay on task and keep organized with time frames by using lists and keeping distractions from people and other devices while at work.

The devices that make our lives sometimes more efficient are often times the distraction that makes us less efficient in the long run.

The irony of me posting late on an assignment about time management is not lost on me. With that said, I'll still do my best to be insightful.

Strategies:  Don't take on more than you can handle.  I would rater produce a one or two high quality products than 5 or 6 that don't fulfill the need.  Ask for help if you need it.  Sometime we stuck in an area of work and need a hand.  Seek out someone who is an expert (or just knows a lot about the matter at hand ) for guidance. Prioritize.  The mission comes first.  Complete the tasks that will insure the mission we be completed and it will reduce the stress over all

Biggest obstacles: For me it would be spending too much time on the small details.  I find myself sometimes fine tuning things that are not essential and add no value to the product.

How I over come the obstacles:  Get the project or product completed and make sure it is done right.  If you have time, then go back and do the small detail stuff.  And, of course, remember your time line so you don't have to rush last minute.

Some obstacles I face in time management, and how I remove them:  I let myself get distracted.  I have to focus and decide how much time to spend on a task.  I will also get up and take a break to get refocused.  My mind will wander, and I won’t get work done.  I can get frustrated when multi-tasking.  I will schedule time in the day to do individual things.  I will set self-imposed deadlines.  I will force myself to eliminate time wasting activities, because I use these to avoid doing what I need to do.  Sometimes, I have to close the door and dedicate time to finishing a specific activity and eliminate all distractions.  I also find that sometimes the best solution is to just go ahead and do something right now, to ensure it is completed. 

As simple as many of these things sound, it can be difficult to manage time to accomplish tasks.  Always being prepared for an emergency call, along with the amount of distractions, whether from people, email, electronic devices, phones, or whatever else, it is important to find a way to manage time effectively.

Some of the biggest strategies I use for time management are a bit of a combination of the strategies we read about.  I use pen and paper to organize my day.  Each morning I make a list of all the task that I plan to accomplish for the shift.  These are kind of like goals for the day.  Using a modified quadrant system, I prioritize them.  I don't necessarily do the most important ones first but I do plan a time to have high priority items done by certain times.  Being able to cross off item on a list give a sense of accomplishment and also motivates you to complete more.  I also believe in a work hard play hard mentality.  This give me a reason to push myself.  By enjoying the blessings I have, I create a desire to increase them by working hard and staying focused

Personally, my biggest obstacle is myself.  It seems the more I have to complete the better I do at organizing and prioritizing them.  The less I have the more sense of free time I think I have and start losing my focus.  This is when I tend to get in trouble and not getting things accomplished.

Probably the best way for me to remove these obstacles is to develop good habits.  By creating some daily routines and staying organized, I can force my self to stay busy.  Less down time means less time without focus.
I to find clutter and lack of work space an obstacle, I have a need to clean the area before I can work.

I like your view on how to remove obstacles.  Part of this is also being ok with these interruptions.  Often times in the fire service, some peoples days are totally derailed if the plans they made are interrupted by calls.
We have to be able to juggle everything-its our job...

On a daily basis I like to use a hand written list and have it sitting in a place I will see throughout the day. I can mark items off as I complete them and it can be a visual reminder as to what still needs to be done. For long term I keep a master calendar that has both work and personnel items in it.

What are some of the biggest obstacles to managing your time effectively ?
Dealing with things that need to be done but are not necessarily goal related. Both in work and at home.

What can you do to remove some of theses obstacles?
They are not going to go away so you try to prioritize the best you can.

I have found that keeping a daily list has helped me accomplish what needs to be done too.

     I currently use 2 calendars, outlook calendar on my work computer and my calendar on my iPhone. I use these calendars in combination with notes i keep on my iPhone to organize and prioritize a to-do list.

What are some of your biggest obstacles to managing your time effectively?

     The biggest obstacle I have is the fact that I don't have a dedicated work space or computer. Another obstacle is unplanned items that may occur during a work day.

What can you do to remove some of these obstacles?

     Some obstacles cannot be removed, they just need to be expected. Allot extra time for items when possible and don't procrastinate. I think sticking to a daily routine (as much as possible) helps things flow easier.

 I could imagine the lack of workspace will limit the amount of work you can accomplish. I has been an issue at station 21 for awhile now.

Over the years I have found pocket calendar and not pad have been best way for me to stay organized during the day.  This allows me to look at what needs done and check off what has been done.

Helping others with their projects and not continuing to work on my projects.  This happens at home just like it happens at work.  Need to make my morning routine more consistent, makes me feel more productive when my days start the same. 

What can you do to remove some of these obstacles?
Learn to achieve my daily objectives along with helping others.  Beginning my morning with a consistent routine at work and at home will help me not waste valuable time.  Writing daily plans and goals on a pocket sized not pad would be more beneficial than just writing them on an 8.5x11 note pad.

I also like the feeling of manually crossing an item of my list.

I use a combination of my calendar and a note pad (to do list).  I check the daily requirements for myself and other's calendars and then write on paper any duties needing completed for that day. Once they are completed I can scratch them of my to do list.

Having to deal with the unexpected (at work, runs), once a plan in in place.  Flexibility is the key word for time management in the fire service.

What can you do to remove some of theses obstacles?
Delegation is a great tool to use.  This gets the whole team involved and accomplishes the tasks.

Being flexible is one of the most difficult items I have had to deal with in the fire service.

I use the Microsoft calendar to keep track of training and daily duties that need to be accomplished.  At the beginning of each shift before breakfast I sit down and figure out what are the priorities and what needs done but can wait.  I have found in the last couple years what really helps me manage my time better is figuring out what I need to do and what can be done by other members of the crew with little or no assistance from me.

What are some of your biggest obstacles to managing your time effectively?  For me the biggest obstacle to managing my time is feeling the need to be part of the crew when they are working on projects or an improvised training they have come up with.  I let this distract me from some of my things that I'm working on and end up being up at work late catching up on things that got pushed back. 

What can you do to remove some of these obstacles? Again it goes back to making sure priorities get taken care of first.  Determining what is a priority and who it's a priority for are where the obstacles come in.

I have difficulty with this as well.  Trying to find a balance between working on personal tasks vs crew goals is a skill I'm still developing.

I believe I use the quadrant list to manage my time. I do find myself the older I get placing many more things in the discard quadrant though. I also use the calendar on my phone to manage appointments while not at work, when at work I use Microsoft outlook to schedule appointments and plan my day according to what is already planned to occur here. Not to mention assuring that we have time to accomplish the tasks that need to occur at our station and for the employees at the station.

This depends on whether I am at home or work. While at work I think we do a fair job at managing our time here at the station. Of course if it wasn’t for those pesky emergency calls we would be able to schedule down to the minute right? Sometimes the communication of plans changing is an obstacle in managing our time. One of the biggest obstacles for me is to manage the appointments of others and making them mesh with appointments that I have to attend.
What can you do to remove some of these obstacles?
The best way to avoid any obstacle is with open honest communication. For me it will work better if we are speaking of facts only, not trying to make someone feel all warm and fuzzy about why I can’t make an appointment. Also, having timely communications will avoid some obstacles, because we will be ahead of the game assure that our schedules are as up to date as possible.

Brian, I utiilze similar strategies.  One thing I have added is estimating how much time each task will take in order to maximize my time.

Every morning I find what I need to accomplish and prioritize what most important. Then I get with my crew and find out what they need to get done for the day. I like to write everything down in a notebook I carry with me at all times. I can add to or check them off at anytime and don't have to try to remember if there's something I could have done. This also allows me to check my book when we're out to see if there's something we can complete while we're out and not have to make a special trip.

What are some of your biggest obstacles to managing your time effectively?
One of my biggest obstacles is family, if seems like someone always needs something. So I have to stop what I'm doing and help someone else, then get my train of thought back and go back to my original task. Sometimes I find myself stuck on one project and start a new one, before I know it I have several projects started and nothing finished. So then I have to go back and reset my priorities and what needs to be accomplished first.

What can you do to remove some of these obstacles?
I started letting my crew help with things I'm working on. This often counts the time I need to spend on it in half and allows me to work on other things. I not starting other projects while working on something else. I constantly check my book to see where I'm at and what I still need to do.

Nunz, Inovolving the crew in tasks usually helps increase productivity.  Delegating certain tasks to the company level also frees up time for you to complete tasks.
